Facilities Coordinator

Ensure a top quality work environment for employees, as related to repairs and maintenance of building systems, aesthetics and services for our building
○ Coordinate team moves/ desk installs and all associated works
○ Full understanding of all building operating systems, troubleshooting HVAC issues, prioritizing issues and escalating where required
○ Daily inspection of facility and report any repairs or maintenance issues;
○ Schedule & receives technicians for regular service on owned equipment; schedule preventive maintenance;
○ Serve as liaison between vendors and organisation; communicate daily with supply vendors & communicates expectations, including providing constructive feedback when necessary
● Respond to employee work requests with excellent customer service
Assist local team with calendar scheduling for shared office resources
Keeps office clean and organised to promote an efficient working environment & ensures organization and functionality of equipment and work areas
● Have a thorough understanding of scope of vendor contracts
● Schedule vendors/service providers/contractors within time frames that are most favorable to client, coordinate access, oversee works if required
● Work with Workplace Manager and international RE&F team to implement new practices, roll out global services and initiatives
● Manage Facilities registered assets and equipment warranties
● Coordinates with events team to set up furniture, equipment, and decorations for special events
● Coordinates organization of plans, operations manuals, and supplies
Order supplies and furniture as needed
● Participates in ongoing special projects, tasks, and additional responsibilities as required
Performs simple repairs, modifications, and preventative maintenance as needed
Performs routine building maintenance such as changing light bulbs, painting, hanging signage, troubleshoot equipment, etc.
Skills: 3-4 years of experience serving multiple customers in a high-paced environment, as part of a Facilities, Hospitality or Administrative Team

Working knowledge of general construction skills, building codes and mechanical, plumbing and electrical systems
Physical Requirements:
Physical requirements include stooping, standing, walking, climbing stairs and ladders and ability to lift and carry heavy loads of 40 lbs. or more.
