Opportunity for the right person to join a fast pace environment providing general administrative and Business coordination support role to the Head of Pre-Development Sciences and a group of scientists. We have a temporary position at our Waltham Site to join our team
The right candidate is client centric focused and will share administrative duties for the site such as making travel arrangements, preparing expense reports and communications, managing calendars, scheduling and coordinating meetings, as needed. Proactively prepare PowerPoint presentations, excel spreadsheet reports, track budget information, and correspondence that includes confidential material and information. This position will coordinate the creation and ongoing updates for several Sharepoint sites and shared files, maintain org charts, reconcile and process catering purchases, The position will process simple contracts, purchase office supplies and respond to various inquiries for information according to general guidelines and procedures Meeting coordination will include room reservation, creating and updating agendas, preparing and sending invitations, assisting with catering activities for 1:1's, group meetings, external meetings and site wide meetings. These meetings maybe local, VTC or TC and skype/web link meetings.
The selected candidate for this position will be trained and have increase involvement in providing support in the areas of: invoice processing and check requests, capital acquisitions, research and licensing agreements, outside studies, Confidential Disclosure Agreements (CDAs) Material Transfer Agreements (MTAs), consulting, Advisory Boards, and speaker agreements.. The position will work with the scientists and other enabling functions. The right candidate must be team-oriented with an ability to adapt to change and learn quickly.

-Must be willing to contribute to the team while possessing the skills to work independently
-Must demonstrate the ability to be proactive and ability to problem solve
-Must be flexible with strong communication skills and excellent interpersonal skills
-Strong Microsoft suite skills, excel, share point and PowerPoint
-Prefer experience in creating and maintaining Sharepoint and shared files
The position requires a person with the ability to adapt to several different styles of management and the ability to work well with all levels of internal management and staff, as well as external clients and vendors. Generally receives no instructions on routine assignments while under limited supervision.
Experience: 3-5 years of office or business experience or equivalent educational experience.
Prefer experience in Pharma or Biotech environment.
Prefer prior demonstrated experience with powerpoint and excel spreadsheet reports.
