JOB FUNCTIONS:
Reporting to the Vice President of Operations, the Director of National Fleet Operations Oversees all fleet activities working out of the corporate headquarters in Mahwah, NJ. Scale and manage the vehicle fleet through strong organizational and process orientation. Properly utilize and account for the large financial responsibilities. Develop and maintain a safe and efficient transportation system allowing chauffeurs to take full advantage of inventory and maintenance.

POSITION DESCRIPTION:
Accountable for overseeing the company's vehicle fleet establishing and managing global best practices. Lead fleet operations, vehicle and parts inventory management, vehicle maintenance, repairs, adherence to government regulations, allocation of fuel cards, accidents, vehicle damage, traffic violations, and reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Manages and provides leadership to build and maintain a strong team through effective communication, recruiting, training, coaching, counseling, appraising and rewarding. Carries out supervisory responsibilities in accordance with organizational policies and applicable laws.
  • Drives fleet operations, vehicle maintenance, and repairs through Standard Operating Procedures (SOPs) methodology.
  • Institutes preventative maintenance program and documents specifications for vehicles, equipment, supplies, and materials.
  • Oversees the allocation of vehicles and parts inventory aligned to business objectives and chauffeur availability.
  • Partners with authorized dealers, contractors, and vendors to secure equipment and vehicles.
  • Creates strategy to purchase and discard equipment and fleet vehicles, approves requisitions and purchase orders.
  • Ensures warranties, licenses, and registrations are maintained for all vehicles and fleet warranty usage.
  • Authors policy and guidelines for repair work adjacent to warranty guidelines.
  • Formulates processes for time and motion records for fleet employees to determine downtime for maintenance and repairs.
  • Escalation point for fleet issues and complaint investigates received on vehicle condition and equipment failure.
  • Coordinates with garage personnel to have inoperable vehicle or equipment repaired or towed.
  • Ensures garage and work areas adhere to safety codes and regulations.
  • Confirms vehicles have valid registrations. Processes and completes all paperwork to obtain renewal registrations, as needed, and finalizes necessary paperwork for new vehicle purchases, to ensure proper registration
  • Processes all new applications for TLC Licenses and confirms all vehicles' TLC Licenses are renewed.
  • Creates fleet safety program, including the investigation of accidents involving fleet equipment and estimating of damage costs.
  • Uses computer applications such as spreadsheets, word processing, calendar, e-mail, and database software in performing work assignments.
  • Confirms all fuel cards are accounted and allocated appropriately.
  • Utilizes strong business acumen, leadership, analytical skills, competitor awareness, and organizational strategies to achieve desired business results.
  • Contributes to a positive, ethical, and respectful working environment and communicates openly with others. Models company culture both internally and externally.
  • Occasional travel, both domestic and international may be required, modes of transportation include vehicle and/or airplane. Occasional travel to other locations and traveling to suppliers, contractors, and client's premises as is reasonably required.
  • Maintains confidentiality of employee, client, vendor, and contractor information and data in full accordance with policy guidelines or senior management directives. Under no circumstances can any confidential information be discussed outside of the department.
  • Maintains a polite, courteous, and professional demeanor when communicating with clients, vendors, customers, potential customers, and staff.
  • Ensures at every opportunity that the services of the company are being promoted and marketed in a courteous and professional manner.
  • Makes every effort to ensure that customer / staff needs, and expectations are being met.

OTHER DUTIES:
  • Supports company growth through planning, implementation, and management.

  • Negotiates with vendors, reviews and executes company contracts, within limits of authority.
  • Develops and maintains close liaison with external and internal sources and consultants to make sure the mission, vision, and goals of the business are achieved according to schedule.

  • Supports identification, development, and institutionalization of company culture.

  • Handles difficult clients and customer relations, when necessary, with the support of Human Resources and Senior Management.

  • Prepares and submits thorough and timely reports, including expense reimbursement requests.
  • Represents the organization in its relationships with major clients, suppliers, agencies, professional societies, and other applicable groups or individuals.
  • Takes necessary actions to protect and enhance the organization's investments.

QUALIFICATIONS:
  • Bachelor's degree required.
  • 7+ years' experience managing fleet operations.
  • Proven personnel management experience.
  • Outstanding leadership and people management skills.
  • Passionate about employee satisfaction and able to motivate and face challenging situations.
  • Develop and strategically utilize metrics and Key Performance Indicators (KPIs).
  • Ability to create sustainable processes aligned to business requirements and customer demand.
  • Experience scaling operations (i.e. resourcing, processes, technology).
  • Analytical skills with an ability to clearly translate results into actionable insights.
  • Ability to multi-task and work well and quickly under pressure.
  • Flexibility to work in the office and/or field as required.
