Admin Assistant IV (Executive)

This position is generally administrative and covers a wide range of activities and projects. This position will primarily support to Senior level Public Affairs Business Partners, as well as general the Cambridge-based Global team.
This role will require a high degree of flexibility, judgment, and organizational & technical skills. Duties include: coordination & maintenance of travel, data, documents, calendars, meetings, international communication, events, and presentations.
High level of interaction with Senior Management and Executive Level associates, both internally and externally.
Beyond administrative duties this position will require detailed project work for various members of the team as needed. Projects may range from events management, presentation assistance, and other projects as needed.
As members of this team work for various franchises within the Global Business Unit of Sanofi Genzyme, knowledge of and interactions with various part of the GBU are essential. Being flexible and adaptive will be a critical quality for success..
Provide assistance to the Cambridge-based Global Public Affairs team, primarily supporting the two teams Heads
Manages multiple, sometimes conflicting, priorities in a fast-paced and demanding environment.
Pro-actively manages the calendar, schedules meetings, manages domestic and global meeting logistics and arranges domestic and international travel, including expenses reports
Proactively manages budget and contracts and follows internal processes to ensure all contracts are put in place at the appropriate time
Prioritizes and executes tasks with minimal direction or supervision. Handles confidential information. Compiles and prepares information for presentations using MS Office software with a working knowledge of powerpoint and excel.
Interfaces with staff and senior level managers, internal/external advocacy partners and vendors, demonstrating a positive presence and excellent support. Ensures smooth and efficient flow of day-to-day operations.
Establishes and maintains good working relationships and internal networks with minimal direction.
Takes initiative and independently manages special/administrative projects in dynamic fast paced environment.
As required coordinate with head office and affiliates on meeting, travel itineraries, etc.
Perform other duties as assigned.

Provides a positive presence and excellent support with answering and prioritizing telephone calls, responding to email and mail communications, and meeting in person. Contacts involve planning and preparation of the communications, require skill, tact, persuasion and/or negotiation to accomplish the objectives of the communication
