Required Function 1:
The primary function of the IT Purchasing Administrator is to manage the purchasing process for the IT department. This individual will facilitate and oversee the purchasing and payment procedures and create processes around these functions to improve efficiency. The IT Purchasing Administrator will be responsible for providing data and generating reports for Senior Management relating to IT expenses. This role requires maintaining relationships with members of all departments with an emphasis on open lines of communication with the Accounting Department.
Required Function 2:
  • Manage Quotes, SOW's, Purchase Orders Entry and Invoicing Processing while working closely with requesters, approvers, and the Accounting department.
  • Identify, implement, and document process improvement opportunities to the IT purchasing process from Vendor Quotes through Accounts Payable
  • Review and Approve Invoices and work with cross functional teams on Invoice, Purchase Order, and Payment Discrepancies.
  • Review Billing data for accuracy
  • Monitor accounts and identifies opportunities for Cost Savings
  • Create and implement policies for Cost control.
  • Report Spending Trends and help establish Budget needs for the upcoming year
  • Responsible for ensuring IT vendors are maintained correctly to ensure efficient payment processing
  • Provide Support and recommended Improvements for Vendor Relationships. 
Required Function 3:
  • Bachelor's or Technical degree/diploma in Business, Management, Finance or related field, or 5+ years industry experience
  • Experience working in a purchasing department, preferably in IT, or an accounting/finance role in a medium to large size organization
  • Team player who is self-motivated, shows initiative, anticipates and prevents issues by executing advanced problem-solving skills
  • Strong Analytical, Documentation, and Excel Skills (including pivot tables)
  • Excellent time management skills and the ability to multi-task as needed
  • Attention to detail and high level of accuracy
  • Comfortable communicating with all audiences from highly technical engineers to non-technical executives in both written and verbal channels
  • Builds solid relationships with other departments and third parties
