Administrative Assistant

This individual contributor role will provide administrative support to the Bellevue Visa office, as well as to the Merchant & Acquirer Processing Product Development (MAP PD) team within the Technology organization.

Job Scope
• Primary function consists of providing office services for the site and administrative support to staff
• Provide reception/guest services at the front desk for periods of the day, and assist visitors and staff with hotel seats, parking validation, taxis, and other requests
• Backup security guard when needed, including badging visitors and signing for deliveries
• Answer calls (minimal) from main office number and route inquiries to the appropriate department
• Assist staff with meeting room reservations, resolve conflicts, and help with setup/teardown of rooms
• Assist with planning and setup of office events and activities
• Place catering orders and setup/cleanup where needed
• Pick up lunch orders and make coffee and supply runs as needed
• Maintain snack stations, stocking and cleaning when needed, and order/setup Friday breakfast
• Maintain office phone list and email distribution lists
• Notify facilities of repair needs and/or file maintenance work orders
• Backup facilities with posting daily conference room schedules, meeting room setups, ordering and stocking office supplies, processing mail/FedEx, etc.
• Perform MAP PD team support duties, including drafting purchase requisitions, assisting with expense reports, scheduling contractor interviews, etc.
• Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside contacts
• This role will require off-hours work at times and ability to run errands

Qualifications
• 3-5 years administrative experience with event support required
• Customer service-focused, with a professional presence and an approachable personality
• Strong communication skills (both written and verbal), and ability to operate effectively and efficiently in a challenging, fast-paced environment
• Skilled in Microsoft Word, Excel, and PowerPoint; experience with SharePoint helpful
• Proficient in managing Outlook calendars
• Ability to multi-task, assist multiple team members at the same time, and prioritize work effectively
• Detail-oriented and able to complete work assignments with a high degree of quality
• Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential information
