Description:
  • Provides administrative support to managers and work groups.
  • Works independently and handles a wide variety of office duties and special projects.
  • Essential Functions: Under general supervision, handles a wide variety of general office procedures and administrative duties such as setting-up and maintaining files, composing and proofreading documents, collecting and compiling data, and coordinating the flow of reports, invoices, or records.
  • Prepares or assists in the preparation of regularly scheduled or special reports and projects as directed.
  • Compiles and types statistical reports, using spreadsheet and/or graphic software.
  • Orders office supplies as necessary.
  • Maintains Manager`s calendar, daily schedule and arranges for meeting rooms.
  • Coordinates travel and lodging arrangements as needed- Maintains recurring internal reports, such as: time and leave reports, office equipment listings, correspondence controls, training plans, etc.
  • Answers the telephone and screens incoming calls and correspondence.
  • Refers calls and visitors to appropriate staff.
  • Routes incoming mail and may prepare outgoing mail.
  • Establishes and maintains files, records and procedures manuals.
  • Performs other comparable duties as assigned.
 
Requirements/Certifications:
  • Potential for (1) position to convert to FTE after several months
  • Shift flexible; full time schedule (40 hours per week)
  • Providing contract support performing repetitive tasks with accuracy and efficiency
  • Able to follow directions
  • Asks questions if directions are unclear or additional guidance is needed
  • Able to perform a series of tasks in order repetitively without getting distracted or making mistakes
  • Able to work with details without getting confused or lost
  • Periodically self-checks work to ensure the task has been completed and is accurate
  • Organized and methodical in approaching a repetitive task to ensure no steps are skipped, no records are skipped
  • Basic skills working with Word and Adobe documents and files (e.g. copying files, moving files, inserting fields, edits, re-naming files)
  • Adept computer skills (e.g. printing, downloading and saving documents)
  • Flexibility accepting changes in how the assignment is performed or the prioritization of certain tasks
  • High School or GED (Required)
