Analyst Relations Project Coordinator

As part of Client's Global Analyst Relations Program, the AR Project Coordinator will assist in driving improved positioning of the company's rankings across 15-20 top tier industry analyst rankings reports a year by providing meticulous planning, a pleasant but persistent coordination of internal cross functional team members and a customer-first attitude to the external analyst community. They will also help coordinate participation and interactions at 10-12 industry events including the company's annual user conference where managing the invitations and special needs of 30-40 VIP analysts will be a key focus.
The AR Project Coordinator will also take operational responsibility for specific tasks. These tasks include meeting logistics, maintaining contact lists, travel management, catering coordination, etc.
In this role, you will:
Prepare and manage individual project plans for 15-20 analyst ranking reports and 10-12 industry events, as well as a master project plan.
Drive cross functional teams to meet key deadlines and milestones.
Schedule and manage meeting logistics for analyst inquires, briefings, strategy days, customer reference requests, online and face-to-face meetings, event interactions, and social interactions.
Logistical support will include:
  • Maintain library of analyst contact information
  • Online meeting coordination
  • Travel schedule negotiation
  • Book meeting rooms and conference lines
  • Book necessary catering
  • Help overseas analysts with business visas if necessary
  • Manage analyst expenses and monitor re-imbursement
  • Facilitate coordination of reprint request and analyst marketing
  • Support internal cross functional teams by:
  • Knowing which internal team members are needed at each point in the project plan.
  • Facilitate special requests from internal team members with regards to AR.
  • Maintain the library of analysts' annual coverage, key contacts, and publish and distribute the AR engagement calendar and schedule of upcoming surveys.
  • Minimum of 3 - 5 years. Past experience as a research coordinator at an analyst firm, or project management or coordination experience
  • Strong interpersonal skills and superb oral and written communication skills
  • Knowledge of Microsoft Project
  • Flexibility/adaptability (ability to change direction based upon team and stakeholder consensus)
  • Able to work business hours in Cambridge office
