Job Title: Administrative Assistant II
Location: Seattle, WA
Duration: 3 months
The primary responsibility of this position is to provide client and account management support to the Market Leader and the Client Management group to increase overall efficiency and effectiveness of client relationship management and business development activities. In addition to the client and account management activities, the Administrative Assistant will also be responsible for general administrative support of the team. He/she will be able to independently manage small to medium sized projects, have excellent communication skills and also be able to collaborate well with others.
General Administrative Support
  • Assist with typical day-to-day administrative duties including:
  • Drafting correspondence
  • Typing, proofreading and editing documents
  • Preparing client presentations
  • Entering weekly time and monthly expense reports
  • Preparing monthly client invoices
  • Maintaining calendar and scheduling meetings
  • Making travel arrangements and preparing travel itineraries
  • Filing, faxing, copying, handling incoming mail
  • Answering telephones and responding to routine client requests
Account Team Support
  • Team Meetings
  • Arrange logistics for account team meetings
  • Prepare meeting agendas and materials for account team meetings
  • Take meeting minutes and follow up with action items required
  • Information Sharing
  • Maintain distribution lists
  • Ensure timely sharing of information
  • Inform team of upcoming milestones
  • Assist with client data requests (e.g., business continuity plans, IT requirements, etc.)
  • Support Account Planning activities as needed
Client Management Support
  • Research
  • Support client, industry and competitor research efforts – including obtaining press releases and other information, as needed
  • Track key client stakeholders, update client organization charts and develop buyer's maps
  • Sales and Client Information Tools
  • Ensure that information entered into Sales and Client Information tools is accurate/complete and entered in a timely manner
  • This includes maintaining client contact information and entering client lead information, client meeting notes and account plans
  • Manage pipeline reports
  • Communicate to Client Relationship Directors and team about upcoming client mailings
  • Support the RFP process, including providing standard responses and managing the online submission process
The Requirements
  • 3-5+ years of experience professional services environment and providing administrative support to multiple parties simultaneously
  • Attention to detail with strong research and project management skills
  • Ability to work well with colleagues at all levels, but bringing an Executive Assistant-level approach to the role
  • Ability to interface with clients effectively
  • Strong sense of professionalism and maturity
  • Outstanding technical skill in MS Office (Word, PowerPoint, and Excel) and Internet Explorer
  • Demonstrated expertise with PowerPoint charts and graphs
  • Ability to produce consistently high-quality results under tight deadlines
  • Excellent organizational skills, accuracy
  • Resourceful, proactive self-starter with the ability to think ahead
  • Ability to multi-task and work independently, as well as part of a team
  • Excellent verbal and written communication skills
