Job Description
Position Summary:
In this role, you will support a core group of colleagues in an administrative assistant capacity with varied tasks depending in their needs. This position requires a passion for client/customer satisfaction as well as the desire to continually tackle new challenges. This position often requires the handling of sensitive information with professionalism and integrity. As part of our dynamic environment and team you will feel a strong sense of accomplishment as you develop your technical, interpersonal and administrative skills as well as see your efforts contribute to meeting the needs of clients. Client supportive, team oriented approach will motivate you to do your best while also helping others.
Key Responsibilities
  • Work directly with our consultants on a variety of client deliverables 
  • Provide advanced level support in the full Microsoft Office Suite, specifically Word, PowerPoint, Excel, and Outlook 
  • Ensure quality control/proofreading/editing 
  • Seek and participate in key learning and development opportunities
  • Support the development of client documents including presentations and/or contracts in PowerPoint, Word, Excel and other written documentation/communication 
  • Manage meeting/event coordination and preparation including catering and room reservations
  • Coordinate complex scheduling and travel arrangements; expense reporting 
  • Support administrative needs of leaders in partnership with other administrative colleagues 
  • Deliver on projects to meet or exceed client expectations 
  • Increase efficiency by identifying ways to improve processes 
  • Build strong relationships internally and collaborate effectively on cross-functional teams 
  • Learn to anticipate colleagues needs and adapt when they change
  • Effectively communicate workload and task completion timeline
  • Participate in team meetings and support the capturing and completion of next steps and action items, if needed
  • Research billing and expense discrepancies, if needed
  • Develop a strong understanding of the Benefits Outsourcing line of business
  • There will be all sorts of tasks from cleaning up food from a meeting, to arranging executives travel/meetings. They need someone who can very effectively multi-task and quickly shift projects if needed when something more urgent comes in.
Qualification and other requirements:
  • Associates degree a plus
  • Bachelor's degree preferred
  • It is NOT an entry level role. The person will be supporting directors and must have prior admin experience.
  • 40 hrs/wk, 8am-5pm. OT possible depending on nature of business but usually no OT.
  • They need a high level of proficiency with MS Office, especially PowerPoint. Experience supporting multiple colleagues at once and juggling multiple calendar/schedules is a huge plus.
  • Ability to remain calm under pressure and maintain a professional demeanor
  • Ability to multi-task and prioritize quickly when urgent needs arise
  • A strong focus on detail and accuracy of work with the ability to take on full ownership of assigned work
  • An innate desire to produce high-quality work and earn respect
  • Exceptional problem solving, critical thinking and customer service skills
  • Ability to adapt to different people and work assignments
  • A learning orientation
  • Strong interpersonal and project/time management skills
  • Ability to communicate openly and effectively both verbally and in writing
  • Advanced working knowledge of Microsoft Word, PowerPoint, Excel, and Outlook
  • 3+ years' experience in a professional administrative services environment
  • Experience providing administrative support to multiple (15+) parties simultaneously
