Job Description

Position Summary:
The Administrative Assistant will be responsible for completing a set of administrative tasks assigned by the Admin Manager, such as check print, statement scanning, opening and delivering mail, ordering office supplies, etc. A successful candidate has a positive outlook, is a team player, strong organizational skills, and ability to prioritize tasks. There is potential for permanent hire after contract.
Duties and Responsibilities:
  • Printing, preparing, and mailing of checks Processed by the NAC, Corporate Accounts Payable, and the Eclipse AP Team
  • Sorting and mailing of Epic client invoices and monthly broker statements
  • Research and resolve check returned from the bank for unacceptable payee, stop payments, etc.; Void checks within Epic as requested by treasury
  • Open and distribute daily incoming mail; Prepare and mail or remotely deposit lockbox checks that are received directly in the National Accounting Center and scan and attach carrier statements within Epic
  • Order Supplies and handle IT issues as needed
  • Organize and help with the completion of physical office/space moves, specifically computer equipment
  • Fill printers up with paper daily and daily check of common areas and refill stations as needed
  • Other Administrative tasks as assigned
  • Supporting an Accounting Department
    Accounting tasks, such as issuing checks, coding documents, handling deposits
    Strong computer skills and MS Office proficiency (Word, Excel, Outlook
Qualification and experience:
High school diploma or equivalent required.
Knowledge, Skills & Abilities:
  • Knowledge of administrative and clerical procedures and systems such as word processing systems, filing and records management systems, and other office procedures and terminology
  • Ability to demonstrate strong professional communication skills, both oral and written
  • Knowledge of principles and processes for providing customer service including quality service standards
  • Ability to read, understand, and apply work related documents
  • The ability to correctly follow a given rule or set of rules or instructions and pay attention to detail
  • The ability to concentrate and not be distracted while performing a task over a period of time
  • Ability to work successfully in a team environment
  • Ability to work effectively under stress or time constraints
Physical Demands and Special Circumstances:
  • While performing the duties of this job, the employee is occasionally required to stand; walk; sit; reach with hands and arms; climb stairs; bend and perform manual tasks.
  • The employee will be required to communicate verbally, in handwritten & typing format, and by phone.
  • Visual acuity is required including color, depth perception, and field of vision. The employee must occasionally lift and/or move up to 15 pounds.

  • Candidates must be able to work in the US without any sort of sponsorship now or in the future
