The Proposal Production Assistant supports proposal development and production processes relating to developing responses to government and commercial Requests for Proposals (RFPs) and other types of procurement requests
• Coordinate proposal production process. Tasks include the following:
o Create production specifications based on RFP requirements and instructions from proposal team
o Order supplies and maintain appropriate supply levelso Spearhead printing, production, and assembly of binders and contentso Assist with various components of proposals, which may include development of staffing-related content (Org charts, resumes)o Perform quality checks on all materials to ensure accuracy and completeness
o Coordinate shipping of all proposal-related materials, including: Create labels required for proposal response submissions, verify accuracy, and ensure compliance with RFP requirements Track delivery and follow up of submitted responseso Assist with post-production tasks, including internal distribution of proposal copies
Assist in maintaining departmental infrastructure, including proposal library
Conduct ongoing research to identify potential bid opportunities
Assist with creation and maintenance of Proposal Web Portal
Maintain online subscription service registrations, update vendor profiles, and coordinate payment of subscription fees
Maintain reporting of proposal statistics
Coordinate a variety of proposal-related meetings including kick off meetings; status calls; team calls, and other internal meetings.
Undergraduate degree or equivalent work experience required
At least one year of related work experience
