 The Site Administrator will assist one or more leaders in the organization with their daily activities requiring administrative skills (answering phones, travel arrangements, expense reporting). Furthermore, this position will also coordinate activities across our entire Denver site – both in office and out of office events such as release celebrations, holiday parties, and whatever else our employee driven council may dream up!
Specific duties generally include but are not limited to the following:
  • Office management – Act as office manager for our entire Denver office, including helping with office wide activities and day to day management of office logistics
  • Initiate agenda, schedule rooms, and attend leadership staff meetings to capture key commitments and actions and follow up to ensure completion.
  • Preparing briefings, reports, and other written communications as needed.
  • Extensive calendaring, meeting scheduling, off-site meeting planning, travel arrangements, and other core administrative tasks for our senior leadership team.
  • Collecting and preparing information for use in discussions/meetings of executive staff and outside individuals.
  • Preparing and processing expense reports, department wide briefings, and communications to organizational leadership.
  • Work with department level budgets and our finance team to help track our spending.
  • Collaboration with locally based teams, as well as teams and leaders located remotely.
  • High School Diploma, Vocational Training or Equivalent
  • 3+ years administrative support experience, preferably including at least 1 year supporting Director level or above executives.
  • Excellent Microsoft Office Skills (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills, and ability to be flexible in a rapidly changing environment
  • Proactive, with a proven ability to manage a variety of simultaneous tasks and make the appropriate prioritization decisions.
  • Excellent written and verbal communication skills, with a focus on accuracy and detail.
  • Ability to communicate with senior level management in a professional and concise manner.
  • Proven ability to manage complex projects.
  • Self-starter, with a focus on details and execution.
  • Event planning, including working with external vendors and building management as needed to plan and execute on team events.
  • Creative, high energy approach to working with others, including staff located based in remote offices.
  • Strong interpersonal skills.
  • Maintains the highest level of discretion and confidentiality.
