This provides administrative support to the President of MarkMonitor and 2 VPs including heavy calendaring, travel, and expenses. In addition this role supports local staff with office management responsibilities including ordering and maintaining supplies and ensuring common areas are neat and clean.The candidate must possess excellent organizational skills, strong editing and solid written and verbal communication skills; have experience in managing multiple projects and the ability to relate to a variety of personalities at various levels of the organization, particularly at the executive level. The candidate must maintain confidentiality, lead by example, be adaptive to constant change, have a professional appearance and manner, and be able to exercise good judgment and initiative. The ideal candidate will have a strong, positive, results-driven work ethic.

Job Responsibilities:
  • Calendar management – schedule complex meetings with internal and external parties over various domestic and international time zones;
  • Handle communication, correspondence, gate-keeping and general administration;
  • Plan complex domestic and international travel itineraries – air, hotel, ground transport; complete complex expense reports – sometimes including multiple currencies. Ensure expenses are submitted on a timely basis and accurate.
  • Assist in the organization of executive and on & offsite meetings – secure room, order refreshments, prepare materials and act as onsite contact;
  • Plan occasional special events – retreats, company events and holiday party;
  • Order and daily maintain the stock of kitchen snacks in the company break room, in addition to keeping the break room clean, replenished, safe, tidy and organized;
  • Oversee ordering and maintaining office stationery, office equipment, special orders as needed
Minimum Requirements:
  • Minimum of 3 years' experience in an administrative role within a global company
  • Must have extensive experience in planning complex domestic and international travel (air, hotel and ground transport);
  • Excellent computer skills with mastery of Microsoft Office suite including Outlook.
  • Exceptional written and oral communication skills;
