Position Description This full-time temporary position will work 40 hours per week on Monday, Tuesday, Wednesday, and Thursday, from 8a until 5p, and Friday 8a until 2p with a 30 minute lunch each day. Candidates who interview will be requested to do a typing test prior to completing the interview. Make sure candidates are aware -Compose and type routine correspondence including reports, memoranda, etc. -Serve as college representative for the President in his/her absence in the welcoming of various groups to the College. Coordinate and assist in the preparation of forms, proposals, and reports for agencies such as the Alabama Community College System, ACHE, SACS, etc., • Make sure all reports are distributed to the appropriate departments and or individuals. • Follow-up to make sure the reports are progressing in a timely manner, • Performs general secretarial duties to include: typing, filing, answering phone, ordering supplies, etc. • Perform in accordance with policies and procedures established by the college and/or the Alabama Community College System. • Ability to multi-task, prioritizing among competing tasks, and to use critical thinking skills. • Ability to establish and maintain effective working relationships with other employees and the public in a pleasant and effective manner. • Ability to maintain confidentiality. • Effective oral and written communication skills. • Proficient in Microsoft Word, Excel, power point, email, etc.
Skills Required Considerable knowledge of office practices and procedures, business English and spellings, and general secretarial skills. • Excellent oral, written and interpersonal communication skills are required • Superior English language skills to correspond both verbally and in writing, using good grammar, spelling, punctuation, and structure. • Ability to organize and maintain records • Ability to work independently, well under pressure, and with discretion • Strong interpersonal skills and work ethic • Organizational skills and attention to detail • Computer proficiency in Microsoft Professional Office Suite, e.g. Word, PowerPoint and Excel software applications. • Ability to operate office machines and equipment, including personal computers, keyboards, switchboards, calculators, multi- line telephones, copy machines, printers, television, VCR, and fax machines. • Verbal communication skills • Written communication skills • Ability to read and interpret • Ability to sit and stand for extended periods of time • Possess basic mathematical skills such as percentages and fractions, etc. • Perform other duties as assigned by the President. • Knowledge of conflict resolution and mediation principles • Ability to relate well to the diverse groups of students, and the general public. • Typing at a minimum of 35 correct (net) words per minute. • Knowledge of the requirements to safeguard confidentiality. • Ability to organize and maintain complex personal computer use. • Ability to manage multiple tasks and successfully meet deadlines. • Assist in preparing documents, using word processing, spreadsheet, and database for presentations. • Ability to prepare and distribute correspondence in the President's Office to include: letters, memos, reports, contracts, routing incoming and outgoing mail, etc. • Screen incoming phone calls and provide assistance where needed in an effort to limit or redirect calls sent to the President. • Coordinate and assist in the preparation of forms, proposals, and reports • Ensure all reports are distributed to the appropriate department;" and or individuals. • Perform general secretarial duties to include: typing, filing, answering phone, ordering supplies, etc. • Assist with the coordination of various faculty/staff functions. • Perform in accordance with policies and procedures established by the college and/or the Alabama Community College System. • Excellent organizational skills • Ability to assume responsibility • Ability to establish and maintain effective working relationships with other college personnel and the public.
Skills Preferred
Experience Required At least three (3) years’ experience in an administrative/secretarial environment required. Must be recent!
