Position Description o Maintain inventory records o Act as the receiving agent for the District o Enter packing slip information into District purchasing and receiving systems in a timely manner o Return incorrect orders to the appropriate vendors o Assist with various types of communication, including correspondence, reports, notices and recommendations o Obtain, gather, and organize other pertinent data as needed, and puts it into usable form o Handle telephone calls, and records messages o Perform any bookkeeping tasks associated with the specific position o Maintain a schedule of appointments and makes arrangements for meetings and interviews o Manage key card system, key issuance and associated building access needs o Maintain district-wide facility scheduling system o Coordinate building rentals and ensure appropriate insurance documentation is maintained o Assist district staff with work order communication, updates and reports from work order software as needed • Billing and Invoice management. They use a system called Skyward. Software experience not necessary • Manage and assign work orders to facility workers. They use a work order system, but the system is easy to learn. • Manage calendars for the schools • Cover phones • Assign work orders and confirm completion of assignments • Shipping/Receiving o Other duties as assigned by supervisor
Skills Required Basic skills in the use of Microsoft Word. • payable processing). Ability to process and integrate complex data. • Ability to perform routine PRISM functions (e.g., process PARS, requisitions).\ • Midrange Excel experience. Creating and manipulating spreadsheets primarily for accounting and work order management. No pivot tables or analysis needed • Ability to maintain confidentiality and be sensitive to political issues. • Experience in providing administrative support in the assigned functional area(s). • Ability to establish and maintain effective working relationships with both external and internal contacts. • Ability to perform data entry into CASPS and/or FAMIS in at least 3 functions (e.g., create shells, accounts • Basic Math Skills. • Basic skills in the use of applicable Microsoft Office Suite software. • Ability to write simple documents.
