Position Description • Prepares and types letters, reports, minutes, work orders, memoranda, and other forms • Answers telephones, giving information to callers and routes incoming calls to the proper person • Maintains all necessary files for the office or school • Maintains proper bookkeeping system in accordance with office and budget requirements; assists with budget preparation • Assists in the preparation of county, federal, and state reports • Maintains some knowledge of current legal county, state, federal, and school board policies affecting office or school • Maintains inventories as required by office **Skilled secretarial work serving as a role or coordinating secretary in an office or school. The work includes performing a wide variety of secretarial and office supervision tasks, including maintaining financial and/or other records related to the program or school activity. The work is performed under the general supervision of a supervisor, school principal, or other school division official.** • Communicates orally and in writing with school employees, students, parents, and the general public • Serves as receptionist, greet visitors to office, and routes them to the proper location • Receives, opens, sorts, and routes incoming mail • Communicates with other departments of the school and school system as required • Maintains records pertaining to such matters as enrollment, attendance, employee leave, students, etc... and prepares reports as needed • Maintains supervisor's appointment calendar • Attends meetings and takes notes of minutes; processes documents and other materials as needed • Supervises and trains other clerical personnel when necessary • Performs other duties as assigned
Skills Required • Considerable knowledge of general office procedures and equipment, including microcomputers, word processor, and required software, calculators, business arithmetic and English • Considerable knowledge of school system reports, procedures, and processes • Ability to take and transcribe dictation as needed and type according to current requirements • Ability to maintain clerical records and prepare reports from such records • Ability to make minor decisions in accordance with regulations and established policies • Ability to communicate courteously and tactfully with students, teachers, parents, and the general public • Ability to work independently without supervision and ability to supervise others when required. • Ability to follow written and oral directions
