Position Description Unique opportunity to work within Client - this role is very demanding and needs a very polish and experienced business partner to work with the team there. This is a very diverse position which can change in a moments as business needs change. The CLP must be flexible and able to stay on task. Plans and coordinates business management, administrative, training and programming support services. May supervise administrative activities related to fiscal management, human resources, procurement and other administrative activities. May serve as a specialist responsible for gathering facts, analyzing findings, reaching logical conclusions, recommending solutions and coordinating confidential or highly sensitive projects. Applies knowledge of programs, operations, and administrative policies and procedures.
Skills Required Previous customer service skills required in this role - must be on the resume as well. Knowledge of grammar, and the principles of editing. Ability to present clear and concise reports verbally and in writing. Ability to collect, compile, analyze, and interpret data. Ability to lead and train other employees. Ability to establish and maintain effective working relationships. Ability to interpret and apply regulations, instructions, rules and procedures. Ability to operate Windows computers and other modern office equipment, including online computer systems and related equipment (as required by assignment). Ability to learn computer applications and systems as needed.
Skills Preferred Knowledge of basic statistical methods. Knowledge of the general principles of public administration, including budget and finance, business statistics, management and administrative methods, personnel administration, procurement and general staff work, and reporting. Knowledge of Client divisions, State departments and operating procedures a plus Knowledge of the effective uses of computer equipment, databases, and various software programs a requirement
Experience Required At least 6 years of high-level, fast-paced Administrative Specialist experience required. Must be recent! Technology Skills Works with office software programs, including spreadsheets, databases, word processing and graphic presentation software. Sends emails and uses the Web for research and employer-specific applications. Assists with typing and formatting presentations, reports, manuals and other administrative publications. Communication Skills As a multitasker, an administrative assistant keeps organized so they can give their attention to keeping the manager organized. Knows how to manage a filing system, track incoming and outgoing correspondence and coordinate the flow of paperwork around the office. Written Expression Skills in standard written English and business. Good writing skills which improve the quality of correspondence, emails and memos and enable to assist with proofreading important documents. Time Management Must manage their time and the time of the manager as well. Uses an electronic calendar in an email program to set meetings, to request others to attend and to coordinate their responses. Responds to requests for the manager's attendance at meetings. Technical Oversight Orders office supplies and repairs to equipment to keep the office well-equipped and stocked for the staff. Management Directs the actions of others and recommends corrections for better performance. Handles requests from other staff members, such as time-off requests. Can develop management skills through courses offered by employers, professional associations, local colleges or e-learning providers. Problem-Solving Skills Solves problems such as how to change the manager's schedule when unexpected obligations turn up. Also troubleshoots conflicts among office personnel and works with vendors to ensure that orders are fulfilled as requested, invoices are paid and refunds or exchanges are processed. Planning Skills An administrative assistant uses planning skills to create administrative and office procedures, such as establishing a procedure for employees to call in sick. Ensures the manager has sufficient resources at their disposal to complete projects on time.
