Position Description: • Provide administrative support for a fast paced environment • A variety of clerical, technical, and administrative detail • Develop schedules related to division/department activities and services; maintain calendars meetings; review, update and inform the administrator and others of essential timelines • Supports operational needs, including facilities scheduling, event/workshop coordination and other logistical needs for programs/services offered; track budget activity and resolve budget issues and problems; monitor and track invoices and other expenditures; process budget/expense transfers; prepare requisitions, check requests • Supports purchasing requirements for department (including travel), researching items and obtaining price quotes, entering information into COED systems, receiving purchase orders, and maintaining P-Card information as required • Composes and/or prepares correspondence, memoranda, forms, manuals, and reports using appropriate word processing and spreadsheet tools; perform basic statistical calculations on data for reports and presentations; produces documents requiring intermediate knowledge of word, excel, and/or PowerPoint • Provides information, assistance, and services to faculty, staff, and students, contacting the office, answering inquiries independently in person, by telephone, or in electronic or paper correspondence; responds to routine inquiries regarding policies and procedures

Skills Required: • Excellent verbal and written communication skills • Strong customer services skills and ability to serve a diverse audience • Microsoft Office Suite such as Word, Excel and PowerPoint • Google Platform including email, Google Drive

Skills Preferred: Ability to speak Spanish fluently • 8:00 am to 5:00 pm, Monday - Friday • Weekends and evenings may be required • Hours not to exceed 25 hours per week

Experience Required: Minimum of one year related experience required • Detail oriented and ability to manage multiple tasks simultaneously

Education Preferred: • Associate's degree (or higher), technical certification and/or training in areas that support job functions required for this position
