The Senior Administrative/HR Assistant will work with a team of 2 executives and staff doing a wide variety of tasks, situations, activities, events and small projects involving the clerical and administrative functions. The administrative assistant will assist with coordinating special projects and activities as assigned, including many that are proprietary and confidential in nature. Work is usually of a critical, time-sensitive or cross-functional nature so ability to be proactive, prioritize, adapt, and problem solve is critical to the role.
 
Job Functions:
  • Host onsite visitors
  • Administrative support to team including 2 executives
  • Manage calendar for executives
  • Arrange domestic/international travel for executives
  • Process receipts and travel settlement for executives
  • Process vendor invoice payment
  • Purchase and Manage office supply for SJ office and team project equipment
  • Process Business card order/corp. credit card request for the team
  • Manage hiring and retention for the team including coordinating interview schedules, new hire
  • onboarding process, termination process, updating org chart/employee data and record/file weekly HR update
  • Conduct new hire orientation, manage new hire orientation package 
  • Manage individual consultant hiring process
  • Support employee engagement including on/offsite events, recognition, internship 
  • Arrange team meetings/events including OAB meetings, team-all hands, etc.
  • Coordinate facility maintenance; update office layout, work with facilities/IT team for repairs and maintenance
  • Purchase and manage HR equipment including laptop, monitor, keyboard, new hire gift inventory
  • Partnership with immigration team for new hire stock option grant; coordinate with legal team to draft the agreement, guide employees on stock option exercise, file/record 
  • Coordinate team weekly breakfast/monthly happy hour/catering for team events

Primary Qualifications:
  • Bachelor's Degree
  • 5+ years of work experience in a corporate administrative environment supporting VPs and above
  • MUST have at least 2+ years managing HR duties described above
  • Project coordination, project management or event planning experience is a plus
  • Proficient in MS Office Suites: Webex, Word, Excel, Outlook, and PowerPoint with excellent typing and proofreading skills
