Summary: Responsible for HRIS, general HR administration and On-boarding Support

HRIS
  • Ensure accurate and up-to-date employee data in HRIS (GHR/Workday) and Knox Portal
  • Maintain employee system profile with current information such as promotions, transfers, supervisor changes, locations, terminations, cost centers, etc.
  • Provide employee data reporting (weekly headcount report, employee lists, ad-hoc requests, etc.)
  • Upload and manage relevant employee documents in HRIS (offer letter, resume, job descriptions, bonus agreements, etc.)
  • Maintain BeneTrac system ensuring accurate employee information (e.g. new hires, terminations, etc.)
  • Perform weekly audit
  • Follow up with employees to elect benefits or obtain proof for changes
  • Enter approved Mobile Allowance (MAP) in employee profiles
  • Update Core Staff (STaR) organization charts
  • M&A/Inter-subsidiary transfers - manage employee data transfer, modify employee profiles to SSI standard, Knox Portal account setup/transfer and system organization structure set-up

HR General Administration
  • Maintain employee personnel files up-to-date
  • Maintain I-9 and work authorization reverification
  • Provide support on termination process (archive termination documents, upload the exit form in HRIS, update the relevant data in term log and HRIS, terminate benefits in BeneTrac)
  • Update and create HR Operations manuals, forms, and templates
  • Provide written references for employment verification and visa support letters
  • Approve business card orders and maintain business card templates up-to-date
  • Process purchase orders, budget approval, expense and invoice payment
  • Support Company Social Events
  • Support the Wellness program
  • Administer the Service Award program and process payment on a semi-monthly basis
  • Update and audit internal email distribution lists
  • Update compliance posters for company
  • Upkeep of storage rooms (HR File Room and onboarding storage room)
  • Maintain visitor gift inventory, ordering, and distribution as needed

On-boarding
  • Enter and audit new hire data into HRIS
  • Process I-9 employment verification and E-verify
  • Review and enter payroll information into HRIS and verify new hire documents for payroll process
  • Coordinate with other departments (IT, Facilities, Fixed Assets, Payroll, etc.) for new hire set-up - cubicle, systems, laptop, badge, etc.
  • Partner and coordinate with New Hire Orientation staff for Local new hires
  • Conduct On-boarding and New Hire Orientation for Expatriate/Dispatchers international assignees

Special Projects
  • Support M&A/Inter-subsidiary transfers projects - reconcile employee files for onboarding and update tracking log on transfer acceptances and missing paperwork. Support transfer overview, benefits orientation meetings, and onboarding orientation.
  • Provide support on internal and external audits
  • DSA All Hands Meeting support – HR slides creation
  • Support special and ad-hoc Video Projects requests
  • Support various Survey Monkey requests (Facilities, Immigration, All Hands Meeting, etc.)
  • Implement E-Filing Project: conversion from hard-copy employee personnel file folders to electronic soft copy document management and retrieval system - RFP, program proposal, planning, implementation and maintenance

Requirements- Bachelor degree - Strong with Excel - Workday experience a plus, but not required
