Transportation Associate

Major purpose:

Responsible for processing of claims and Sox Compliance.

Responsible for freight payment and audit functions.

Works closely with Transportation Analyst, Carriers, Freight Payment Company, post-audit Company and internal departments
Major responsibilities and duties:

• Audit carrier invoices ensuring proper rates and discounts were applied

• Work with carriers on invoice disputes and process improvement

• Review invoices freight payment company is unable to reconcile and assign an account code that matches the shipment type to ensure accurate financial reporting

• Work with DC's Customer Service and the carriers on damaged shipments providing disposition and ensuring information is sent to Customer Service for customer follow-up

• Work with Transportation Analyst on contract and rate submission

• Ensure carriers are in compliance with insurance guidelines

• Ensure all carrier documents are stored and up to date in the data management system (DMS)

• Ensure the freight payment company and post-audit company has current rates for carriers

• Provide post-audit company accurate information and work to resolve issues they may encounter

• Coordinate freight movement with cross docks and Lean Logistics

• Assist internal customers with freight related questions

• File claims for lost and damaged shipments with required support documentation

• Challenge denied claims using negotiation skills to ensure carrier is held accountable

• Maintain relationships with vendors/carriers

• Identify products that are frequently damaged and inform Supervisor

• Inform Supervisor of any operation or procedure issues that occur with specific carriers

• Obtain business documents in order to set up carriers in SAP and provide this information to the freight payment company

• Conduct SOX audits on carrier invoices to ensure compliance monthly

• Coordinate the record retention processes for the Janesville based Transportation Dept

• Assist Supervisor with any training or process improvement as needed

Previous experience in freight payment, accounting or transportation/logistics a plus

Experience in PC applications such as Microsoft Word and Excel is required and Access a plus

Education Requirement:

High School Diploma or equivalent

Other Requirements:

• Organizational skills to manage multiple priorities

• Negotiation skills to resolve day to day service problems or issues with external carriers

• Written and oral communication skills

• Ability to work with minimal supervision
