Administrative Assistant (Level III)

The Executive Assistant supports an executive by performing diverse, advanced and confidential administrative duties. As an Executive Assistant, you should anticipate and relieve management of administrative details; gathers, compiles and reports information relevant to/for the executive. You will typically handle different and conflicting objectives, projects or activities at once.
You should be able to operate in a business environment that is very dynamic. This job entails managing the executive's calendar and ensuring the Executive is prepared and on time for various meetings and activities. Fielding of phone calls and issues is also regular daily task of this function. Administrative tasks such as travel itineraries, expense reports, and creation of agendas and other documents using PowerPoint are also a part of this position. You may work closely with the other executive assistants on the team. The ability to anticipate the needs of the executive is essential in this role. You should also feel comfortable operating in an environment where they have influence, but not necessarily authority; and can handle sensitive and confidential information with discernment and tact.

Day to day responsibilities include:
• Phone coverage, calendar management, travel scheduling and expense processing
•Performs diverse, advanced and confidential administrative support, robust scheduling for high-level executive meetings; includes creation of agendas and light material preparation
•Relieves management of administrative details; gathers, compiles and reports information
•Typically manages different and conflicting objectives, projects or activities at once
•Coordinates schedules for executive to maximize time and create efficiencies

Required skills:
•Concur Travel and Expense experience a must
•Very Strong Outlook Experience
•Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)
•Ability to manage calendars and phone calls
•Ability to proactively look for potential conflicts or issues and resolve with little or no involvement from Executive
•Strong time management skills
•Excellent organizational skills
•Self-starter and customer centric
•Comfortable working with people at all organizational levels
•Ability to learn quickly and handle new responsibilities
•Requires 5+ years experience
