Job Description:
Client is currently hiring an Administrative Assistant to provide administrative support to a group of consultants within our Retirement Administration Center. To fulfill this role, the Administrative Assistant will:
  • Work with up to 14 analysts to complete daily tasks for several different clients.
  • Work with Group Leader to manage day to day team and client activities
  • Work with other Processing Assistants to get all client related activities completed each day
  • Provide word-processing support
  • Complete mail merges, edit and proofread participant letters and forms
  • Create client benefit packets and house and manage frequently used forms
  • Maintain electronic file records
  • Keep filing and documentation up to date
  • Handle sensitive information
  • Manage and complete internal and external project assignments
  • Handle team scheduling
  • Provide client invoicing and time keeping support
  • Maintain and promote team standards and processes
  • Exercise judgment and make decisions to promote smooth workflow in the team and ensure that client demands are met
  • Keep team members informed of information that affects workflow and service delivery
  • Provide on-going communication with peers and client teams regarding status of work and processes
  • Ability to work in an extremely fast paced environment and manage several client tasks simultaneously.
  • Three to five years' of administrative assistant experience or related educational experience for an Administrative certificate or degree
  • In-depth knowledge of the administrative procedures and tools required to support an individual and group
  • Proficiency in Microsoft Office, with demonstrated expertise in Word, Excel and PowerPoint, particularly merging and proper formatting of documents
  • Strong organizational skills and detail oriented
  • Ability to work well under pressure, juggle tasks (both client and group-related) and work efficiently against deadlines
  • Ability to prioritize multiple projects and adjust workload accordingly
  • Ability to be flexible and solution oriented
  • Can demonstrate problem solving and judgment capabilities
  • Excellent oral and written communication skills
  • Exceptional interpersonal, organizational, business communication and time management skills
  • Willingness to learn and adapt to new responsibilities
  • Experience in a consulting environment preferred
  • Demonstrated diplomacy in dealings with service areas, consultants, and clients.
