Executive Assistant

This position serves to support two dynamic senior leaders within our Human Resources and Risk Management team. The person in this role must be a self-starter that thrives on a fast pace, is comfortable with ambiguity and change, and can collaborate effectively across organizational boundaries.

Responsibilities:

Scheduling and Logistics:

· Prioritize strategic and tactical initiatives

· Manage calendars for both leaders

· Manage travel and accommodations

· Prepare and submit expense reports

· Provide events support for the site

· Coordinate with Boston, Phoenix, and Kansas City based departments

Team coordination:

· Coordinate multiple cross-team, departmental, and 1-on-1 meetings

· Support on-site events and events involving multiple sites through scheduling,

coordinating, and catering

· Prepare agendas, ensure materials are ready, track and communicate action items

· Manage vendor contracts and invoices, manage budget

· Manage shared team documents (i.e., Sharepoint)

· Provides support for internal HR programs

Create and edit PowerPoint presentations and Excel documents

Qualifications:

· 3 -5+ years' experience supporting teams

· Technical proficiency is compulsory. Programs used include, Microsoft Word, Excel, PowerPoint, Sharepoint, and Outlook

· Excellent, error-free written and verbal communication skills

· Independently provides high-quality support that anticipates needs

· Strong business acumen, along with a desire to learn about the business

· Strong attention to detail

· Handles confidential information with discretion

· Ability to represent the HR and Risk Management leads and their teams in a positive way through interactions with other internal teams, as well as external customers and partners.

· Ability to prioritize what is most important and use project management skills to organize the ongoing calendar of events for each group

· Ability to influence without relying on formal authority; manage positive interactions and teaming with other Executive Admins, IT, etc.

· Asks, listens, decides, and closes the loop

· Willing to contribute at any level

· Generates creative ideas to find the best solution
