Job Description: Receptionist/Administrative Assistant

• Learn and adhere to established guidelines for operations and procedures utilized for the front desk/lobby area.
• Answer incoming calls, take messages and forward calls in a professional manner.
• Greet customers, employees, applicants and vendors with courtesy and professionalism and direct appropriately.
• Monitor and organize key customer-facing email inboxes and respond to inquiries.
• Organize and distribute incoming/outgoing mail, prepare and mail invoices, welcome gifts, etc. as well as opening and processing checks for daily deposit.
• Help with data entry, clean-up and auditing projects for multiple departments in OPIS which includes: organizing conference materials, preparing name badges, supporting sales and customer service with account set ups, changes, proofing contracts, etc.
• Daily clean up and maintenance of kitchen and common office areas (conference rooms) and setting up the daily fruit cart.
• Refill coffee machines, resolve minor issues and report maintenance problems to appropriate vendor in a timely manner.
• Maintain inventory and place orders for office and kitchen supplies as needed.

• Strong computer skills.
• Ability to prioritize and manage multiple projects with interruptions.
• Establish priorities and work well with others as well as independently.

Education/Job Experience Requirements
• Some college level coursework is required.
• Candidates with an Associate Degree are encouraged to apply.
• Some receptionist experience is a plus but not required.
