Purpose
Provide a wide range of advanced administrative duties and projects in support of Chief Medical Office & Patient Safety organization. The nature of the job involves frequent interaction with contacts at all levels of the organization and regular exposure to confidential data, requiring considerable use of tact, integrity, discretion, and judgment. The incumbent is expected to work independently with only general guidance on a variety of special projects.
Major Accountabilities
Organize and prioritize work, demonstrate a keen attention to detail, and work well under pressure.
Organize meetings, take minutes, and maintain departmental electronic shared files. This may require data compilation and preparation of presentations.
Work with multiple tasks and deadlines simultaneously. Manage flow of work and initiate follow-up actions.
Prepare and send letters, memorandums, and reports. Independently compose correspondence to teams, senior management, and outside contacts.
Correspond with legal to prepare contracts, manage amendments and/or extensions while adhering to compliance and company policy.
Reconcile monthly expense reports, coordinate domestic and international travel arrangements, and order office supplies.
Manage invoices, support coding, obtain approvals, and interact with Finance/ Accounts Payable to ensure payments are made in an accurate and timely manner, while in conformity with effective policies and procedures. Maintain files with copies of approved invoices and related documents.
Manage and maintain multiple calendars; schedule meetings, web conferences and teleconferences, and track upcoming meetings and events.
Research a wide variety of complex information requests and compile information for reports.
Independently administer ad hoc or annual projects within company policy.

Previous experience with Client-Alcon procedures and organization is preferred.
