Hiring Payroll Operations & Human Resources Analyst
This position is responsible for building and maintaining payroll processes as well as administration governance standards, guidelines and policies.
  • Day to day management of US and Canada Payroll Operations. Scheduling and coordinating all on-cycle, off-cycle, bonus and any special payrolls including, out of sequence and Year End payrolls.
  • Resolution of escalated service issues, identifying a resolution path to assure the maintenance and evolution of processes for the benefit of Payroll Operations and Human Resources as a whole.
  • Coaching and alignment of Payroll Provider team to assure adherence to agreed service levels
  • Work on Internal/External Audits to ensure SOX compliance.
  • Year End/W-2 work stream lead meetings for year-end payroll collection and processing of W-2
Key Functions
  • Attend weekly payroll calls to discuss payrolls being processed, successes and areas of opportunity
  • Ensure accurate payroll records by means of reporting and internal balancing/auditing procedures to reduce the possibility of company liability
  • Monitor salary increases for retroactive payments and perform the calculation
  • Perform registrations of tax withholding accounts and ensures compliance with state tax laws
  • Brings to the attention of the department any unusual problems with regard to the preparation of paychecks.
  • Collaborate with vendors, Accounting, HR, timekeeping and other functions to ensure a successful transition of the payroll systems and the migration to common work processes
  • Manage all ExPatriot/InPatriot Payroll Processing in conjunction with vendor.
  • Maintain proper administration of all Earning, Deduction, and Special Accumulator Codes.
  • Verify the labor dollars, company paid taxes and insurances to ensure accurate financial statement reporting of payroll data; requests tax payments
  • Maintain updated knowledge of local, state, federal, and international regulations governing payroll; interprets impact of changes and implements to ensure compliance
  • Creates payroll processes and controls for 401(k) plan administration
  • Suggest changes in operating procedures regarding workflow and scheduling to meet productivity and quality standards
  • Administers Time Management and takes ownership of the maintenance of Holiday rules set up, Users setup, troubleshoot issues with access.
  • Completes monthly summary of union dues and ensures union dues are calculated correctly
  • Approves payroll pre-check reporting and maintains the weekly notice of change direct deposit report
  • Provide information requested by internal and external customers
  • Mergers & Acquisitions lead and due diligence where needed
  • Provide Support as related to payroll with all internal client groups such as Accounting, Finance, Compensation, Benefits, HRIS and the Human Resources Team.
  • Day to day management of Payroll, first point of contact for issues/escalations; gives priority to escalated issues
  • Resolve all issues and evaluate procedures and processes to identify opportunities to improve service moving forward
  • Identification of process improvement opportunities and relay those entire Payroll Team
  • Document all process improvement opportunities so they can be successfully changed
Vendor Management
  • Focus on the general coaching and improving of service of Payroll Provider to ensure high quality service delivery
  • Develop a trusted advisor relationship with relevant client contacts through effective communication and efficiency
  • Ensuring delivery of high-quality services and products to the business
  • Monitors vendor SLAs, performance, provides feedback, defines or approves/disapproves change control processes, and development of vendors
Education Minimum Requirement:
  • Associates Degree with CPP certification OR Bachelor’s degree
Required Experience & Skills:
  • 6+ Years of Prior Payroll Management
  • High degree of attention to detail and excellent problem-solving skills
  • Team player mentality
  • Advanced Excel skills
  • UltiPro experience a plus
Preferred Experience & Skills:
  • Large Scale, Multi-State Payroll including US, Canada, ExPatriot and Inpatriot Payroll Processing, W-2 Year End Management, Organized, troubleshooter, with a keen eye to detail.
