Project Coordinator

Description:
Project coordinator is an administrative professional who oversees the day-to-day operations of projects within the office of global diversity and inclusion. The project coordinator will work on a variety of different projects that supports the global diversity & inclusion strategy, including human resources, sponsorship programs, conferences, launch projects, communications, awards, multicultural marketing, training programs, production, D&I advisory boards, and delivery channels. This coordinator position is a job that will bring together all aspects of a production or project and works on many different projects and areas of focus.

Primary Goal:
Ensuring that each project has a timeline and project plan to ensure that it runs smoothly and is executed flawlessly. The coordinator will the primary point of contact for coordinating various project tasks and making sure that the timeline is kept on schedule. He/she will be in constant communication with the project lead by providing regular updates on each project.

Projects:

Multi-Cultural Marketing Core Team (34 members)
• Coordinate materials from internal and external speakers for bi-monthly meetings
• Research external multicultural marketing materials relevant to multicultural consumers and patients
• Documenting and following up on important actions, minutes and decisions from bi-monthly meetings.
• Work with external speakers to coordinate presentations and reading materials with agendas to be sent ahead of bi-monthly meetings.
• Send out the meeting materials after the conclusion of the meetings

Global Enterprise Sponsorship Program
• Create project management calendars for fulfilling each goal and objective.
• Maintaining and monitoring project plans and project schedules for several Global Enterprise Sponsorship Programs (EC/MC, and RDMC)
• Develop and manage the Enterprise Sponsorship Programs project plan timeline and launch of eight businesses for sponsorship programs across the global enterprise: Supply Chain – EMEA, Supply Chain – LATAM, Supply Chain – NA, Consumer Medical Devices, Consumer Sector, RISE, Pharmaceutical, and HR
• Coordinate with external vendor the delivery of presentations to sponsors and sponsees
• Ensure timeline delivery schedule of all sponsorship programs

Odyssey Network Business Conference
• Develop project plan for execution and delivery of annual conference
• Coordinate the participation, registration, and transportation of 10 Pharmaceutical senior level women executives attending the annual conference
• Communicate, monitor, and manage the logistics of the event including creating an executive's biography booklet, managing and assembling 600+ participant gifts, coordinating a welcome dinner and executive coaching session/materials for Pharmaceutical participants, and assimilating all meeting materials sent to each executive prior to the event

Diversity & Inclusion Launch
• Coordinating projects from inception to completion for D&I Launch Materials and various global announcements (Diversity Inc. #1 and Nikkei #1)
• Planning, directing, and organizing project work to assist in developing strategies.
• Helping D&I leadership team with the development of operating procedures by researching and developing ways to pull through the D&I launch strategy
• Cross-analysis and determine potential locations for launch materials to be displayed
• Enabling the implementation of the #belongatJnJ campaign with a quarterly refresh across WHQ and various Pharmaceutical facilities

D&I Honors & Gala
• Track and report project progress keeping in close contact with key project members and decision makers
• Translate project objectives into tasks and maintain processes
• Assemble nominations, awards, tabulate & review surveys from across the global enterprise for analysis for nominations of awards
• Coordinate and execute all logistics for annual awards gala in conjunction with the production/event company

D&I Speaker's Bureau
• Manage incoming internal and external speaking engagement opportunities for the Office of D&I (10+ per week)
o Evaluation of speaking opportunities
o Alignment of speaking opportunities with Pharmaceutical Leadership
o Manage logistics of speaking engagement
o Follow up and amplification of Pharmaceutical's participation in the event.

D&I External Partnerships
• Manage deliverables for external partnerships
o Develop creative assets for branding opportunities
o Manage gala logistics including invitations, RSVPs, guest lists
o Manage speaking opportunities at events
