This position is to cover a maternity leave. Reports to Executive Vice President - Quality, Regulatory & Compliance. Would like for successful candidate to start 2-3 weeks prior to incumbent leaving in order to be able to train with incumbent.

Executive Administrative Assistant
This position will report to and directly support the Worldwide Vice President, Quality, Regulatory & Compliance. The role requires a full understanding of the functions, practices, procedures, and policies of an organization or major unit, and the ability to interact with all levels of senior management within and outside the company to provide and/or gather information often of a sensitive and confidential nature. This candidate is required to think analytically, exercise sound judgement and discretion, and independently assess and resolve complex situations. The candidate should demonstrate flexibility and the ability to manage and respond to multiple priorities and shifting demands while maintaining the sense of urgency and intensity that the office requires.

RESPONSIBILITIES:
Under minimal supervision:
  • Performs advanced and complex secretarial and administrative responsibilities, i.e., independently compose correspondence based on knowledge of executive's intentions.
  • Maintains complex and changeable calendar.
  • Execute rigorous follow-up by ensuring issues are resolved and projects completed in a timely manner.
  • Manage Purchase Orders and Invoicing from suppliers.
  • Arrange meetings and complex domestic and international travel arrangements/itineraries.
  • Must be able to properly handle and deal with highly confidential matters.
  • Heavy schedule coordination required.

QUALIFICATIONS:
  • Requires a high school diploma, with a minimum of 10+ years of experience in executive level support.
  • Must possess extensive knowledge of and demonstrate expert level proficiency with personal computer working with Microsoft office programs (Word, Excel, PowerPoint, Outlook, etc.)
  • Strong proficiency in Ariba, expense reporting and travel related systems, SharePoint and video conferencing such as Global Connect are required.
  • Must possess strong organizational skills.
  • Must have extensive knowledge and understanding with the structure and support services of major business units or corporate structures.
  • Previous administrative experience supporting VP/Executive Leadership or head of a major corporate function preferred.
