Project Scope:
  • Newsletter to project managers / PMO personnel
  • Newsletter to wider audience / partner communities
  • Interviews to highlight project successes and challenges
  • Executive communications, as needed
  • Assists with project-specific organizational change management messaging
  • Personnel announcements (new team members – both PMO and project) such as new hires, end of probation, departures, significant milestones
  • Includes providing managers with personnel-related reminders
  • Compile / prepare weekly CIO updates
  • Awards preparation
  • Progress updates on IT strategy
  • Planview rollout messaging / User Group support (FAQs, job aids)
  • PMO Summit and PMO All-Hands presentation creation / assembly
  • Coordination of field trips
  • Maintenance of PMO Toolkit (updates templates as needed; maintains brand)
  • Lesson learned database management
Typical Tasks:
  • Communicates new initiatives, addresses questions and concerns, and provides continuous feedback to the IT Leadership Team
  • Implements and enhances communication programs based on management and/or leadership teams' preferences and feedback
  • Develops communications strategies and plans
  • Guides and directs department(s) in identifying appropriate communication products and target audiences
  • Identifies audiences and appropriate communication channels and vehicles / medium for specific communication needs
  • Creates a variety of communications tailored for targeted audiences
  • Researches and develops content for communications
  • Works with project teams to ensure effectiveness and consistency of communications
  • Translates technical and/or complicated information into clear, concise documents appropriate for various target audiences
  • Prepares written text, coordinates layout and organization
  • Interprets data to determine appropriate syntax, style, and grammatical usage
  • May participate in cross-functional teams and provide support for specific projects
  • Uses different feedback mechanisms to evaluate the effectiveness of communication programs and reports to leadership for action planning
  • Incorporates feedback into the development of communication processes and programs as directed
  • Partners with Knowledge Management Specialists to create and manage intranet content, build adoption, and lead ongoing governance of the site
  • Work with Knowledge Management Specialists and other SMEs to improve content across internal and external platforms
  • Performs related work as assigned
Qualifications:
  • Typically requires a bachelor's degree from an accredited college in Marketing, Journalism, English, Communications, Public Relations, or a related field
  • One (1) year experience in content creation, copywriting, journalism, marketing or public relations, utilizing social media, and the internet
  • Experience working in an IT environment preferred
  • Knowledge of corporate and organizational communication principles and practices to include plan development, implementation, and ongoing support
  • Experience with digital communication channels including, but not limited to websites, social media, and mobile apps
  • Experience with formal business process engineering / improvement strategies and implementations preferred
  • Knowledge of the principles, practices, and techniques of current and emerging public communications, relations, and information media
  • Principles and techniques of creative writing and layout
  • English skills in grammar, spelling, punctuation, and vocabulary
  • Techniques of interviewing
Ability to:
  • Rapidly communicate ideas and concepts orally and in writing
  • Manage multiple projects to completion, simultaneously
  • Motivate and elicit the cooperation of other staff, department management; residents, client, and community stakeholders in order to adopt new media
  • Exercise discretion and judgment
  • Implement emerging and new forms of communication for public outreach
  • Employ optimization strategies for leading social network components
  • Collect and analyze data
  • Guide and train others
  • Work effectively under pressure and meet deadlines
  • Establish and maintain cooperative working relationships with those contacted in the course of work
