Job Description:
This position supports the Site Selection & Acquisition team, by providing staff support for the Team to act as a Site Selection & Due Diligence Coordinator ("SSA DD Coordinator”). 

Key Responsibilities:
  1. Familiarity and knowledge of datacenter and mission critical infrastructure project(s) to include internal associated infrastructure systems (e.g. electrical, mechanical, security, etc.)
  2. Comfort in dealing with multiple stakeholders in a highly matrixed corporate environment
  3. Strong organizational and project management skills, ability to work collaboratively in a team environment across multiple time zones with several projects in parallel.
  4. Strong experience with and ability to facilitate and support all real estate due diligence functions (lease and land acquisition).
  5. Attention to detail and ability to manage multiple work streams towards resolution of complex technical challenges.   Well-developed problem-solving skills and ability to simplify issues and articulate solutions.
  6. Strong communication skills, build relationships with site selection managers and stakeholders based on trust and accountability.  
  7. Research capabilities that include market analysis for land and leases + tax incentive support for headcount and capital investment for projects in the AMERS region
  1. Administrative
    1. New Vendor Setup
    2. Administer the following processes involving Issuance of RFPs (lease and land) as the SSA DD Coordinator shall collaborate to ensure all the items designated to the SSM are complete
    3. Research and Analysis, as needed, in support of SSA real estate activities
    4. Fill out miscellaneous templates and requests from SS BDM
    5. Create or confirm Non-Disclosure Agreements (NDA's)
    6. Draft Presentation Decks for Stakeholders and Exec Review
    7. OnBoarding management (Landlords), coordinate meetings, LLs, and team members,
    8. Drive internal Approvals (Stakeholders and Execs with coordination : SSM)
  2. Scheduling
    1. Assist SSMGRs with Investigative Schedules (E2E does not provide investigative scheduling)
    2. Help SSMGs stay on schedule, look ahead, miscellaneous administrative milestone activities
    3. Coordinate team site visits and schedules
    4. Coordinate with the SSM and Scheduler to maintain schedules for investigative and execution signals.  
  3. Bid and RFP Process: 
    1. Issue and administer the bid and RFP process for SSA land and leasing colocation deals, to include prequalifying/onboarding coordination, setting up Project Teams and Security Groups, issuing capacity requirements through SSA's RFP tool as identified, receiving capacity proposals, reviewing and disseminating the proposals to internal stakeholders, managing SharePoint sites for final proposals and project updates, metrics, site tours, etc.
    2. Prepare decks for longlist to shortlist recommendation, coordinating stakeholder trips and associated calendars, facilitating recommendations for shortlist, managing overall project schedule through SSA's identified scheduling tool (currently EPPM and working with the Scheduler), reviewing shortlist proposals and managing commercial and technical reviews by internal stakeholders
    3. Prepare award recommendation decks, participating in contractual and financial executive recommendations with the respective Site Selection Manager, facilitating close-out documents to include Deal Summaries and Handover Emails, and overall document controls (i.e. via identified SSA tool and SharePoint sites). 
    4. Manage lease technical exceptions with internal stakeholders (RFP Responses from Landlords)….  "Collect/Vet Lease Exceptions”
  4. Documentation, Process, and Reporting:  collect and organize completed project files through the bid and RFP process to include:
    1. maintain the related SharePoint site External Reporting & Duties
    2. Solicit and organize a variety of proposal data, metrics and attributes related to lease/colocation and land projects. 
    3. Maintain metrics for the regional projects to include cost and schedule metrics for regional internal reporting requirements.
  5. Communications
    1. Draft Field engagement emails, and send upon approval of Site selection MGR
    2. Preliminary and final handover emails
    3. Coordinate and distribute Preliminary and Final Handover Emails
    4. Meeting minutes and Skype setup and management in meetings
    5. Prepare, review, and Distribute Meeting agendas, Minutes, feedback forms
    6. Drive Close out with Subject Matter Experts (SMEs) and Stakeholders
    7. Draft Deal Summaries and review with SSM
  6. Assist with VSO Ticketing (Buydesk)
    1. Signature routing (Easements, SAND Agreements, ROW, etc.)
    2. Route RFS Certificates VSA
  7. 5+ years of experience in Microsoft products to include Outlook, Excel, PowerPoint, MS Project, Word, MS Teams, SharePoint.
