Job Description:
  • EPMO Center of Excellence (COE) Project Coordinator
  • The Center of Excellence Project Coordinator (PC) will work closely with the Director of EPMO Strategic Programs and Center of Excellence (COE).
  • The PC centrally manages and facilitates project scheduling and data tracking to enhance portfolio data quality and process consistency.
  • The PC will act as a Global Services (Client) and EPMO project controls and governance officer and administrator.
  • The PC will be primarily responsible for the tracking and reporting of the Client portfolio and project health using the available and established tools (Service Now, SharePoint, Planview and Qlik View).
  • This role is responsible for working with project teams to ensure accurate data reporting in these tools and then summarizing data for reporting to the executive teams and Global Services Steering Committee (GSSC) on a weekly basis.
Key Responsibilities:
  • Assist in coordinating Global Services Steering Committee agenda by identifying key projects for bi-weekly reviews and coordinating with project teams for presentations
  • Provide project portfolio reports using established tools and dashboards
  • Identify inaccurate project data in the established portfolio management tools and work with project teams for timely corrections and updates to facilitate accurate reporting
  • Identify and track root causes for project status inaccuracies
  • Support process improvement and implementation efforts as directed by manager
  • Create, analyze and distribute reporting for team and executives using MS Excel, Project, Visio, and QlikView and provide preliminary analysis of Client portfolio data to EPMO and Client leaders
  • Create charts, graphs, diagrams and other visualizations using MS Office programs
  • Identify and suggest more efficient methods of performing work and present to management
  • Monitor group email and respond promptly and courteously to requests for assistance
  • Route requests for assistance in a timely manner, as appropriate, or escalate if needed
  • Assist in administration of the Global Services Steering Committee (GSSC) SharePoint site
  • Maintain the GSSC weekly and monthly agenda and review plan
  • Track and maintain records of projects reviewed and weekly GSSC action items
  • Collaborate with team members worldwide, using clear and professional verbal and written communication skills
  • Create new reports as requested by manager
  • Identify completed projects monthly and administer customer satisfaction survey and index reporting for EPMO metrics
  • Capture and maintain monthly EPMO and Global Services project performance metrics as directed by manager identifying trends and key events
  • Other related activities as directed by Manager
  • Bachelor's Degree (Project Management degree a plus)
  • Minimum of 3 years working in professional global organization with Project Coordination/Project Management and Project Management Office (PMO) experience
Technical Skills:
  • Expert proficiency with MS Office tools: Word, Excel, Project, PowerPoint, Visio, SharePoint, Skype & O365 (creativity in PowerPoint presentations a plus)
  • Experience and working knowledge of Service Now system; experience with Qlik View dashboards a plus
  • Excellent analytical skills – able to drive to issue root causes
  • Attention to detail – adept at ensuring details of project deliverables are complete, professional and accurate.
  • Self-starter, critical thinker
Project Management Skills:
  • Experience in project and portfolio status, metrics and performance reporting
  • Project Management Certification (CAPM or PMP) a strong plus but not required
  • General understanding of project management industry best practices, tools and concepts
  • Proficiency in project scheduling tools and cost control fundamentals
  • Knowledgeable of effective project management tools such as action/issues tracking logs and project status reports
Interpersonal Skills:
  • Strong communications skills: able to clearly communicate to various functions and levels both verbally and written, up to and including executive level leaders
  • Learning Ability – Able to quickly understand new concepts. Open minded to new tools, techniques and approaches.
