Duration:0-4 month(s) Description/Comment: Executive Administrative Assistant This role is a temporary role that will be covering for a maternity leave. The length of the contract will be approximately 3-4 months. The position will be hybrid (remote and office) but will require at least 3 days in the Farmington, CT office. Act as an executive administrative assistant for: • Executive Vice President, Chief Product, Delivery and Customer Officer • Vice President, Sales and Marketing • Vice President, Field Operations • Executive Director, Product Management Essential Responsibilities: • Interface with all levels of the organization in a professional and effective manner • Analyze complex information and requests to ensure timely and successful outcomes • Handle sensitive information with the utmost confidentiality and professionalism • Maintain schedules and materials for meetings and conferences, making timely adjustments as needed • Participate in preparation for monthly, quarterly, and annual leadership meetings including agenda development/management, travel and other logistical arrangements, including vendor management as needed • Prepare communications and materials; consolidate reports and materials for executive meetings, including senior leader business reviews • Manage logistics, invitations, agendas and records for key meetings to ensure a seamless execution and delivery • Schedule domestic and international travel and make logistical arrangements; prepare meeting and travel itineraries; monitor and complete expense reports in a timely manner • Process purchase orders and invoices; including communicating with vendor and tracking through payment and closure • Other administrative support as required Basic Qualifications: • 10+ years of progressive administrative experience, supporting senior, ideally c-suite, executives • Excellent communication skills, both written and verbal • Ability to communicate effectively with a hybrid workforce via videoconference and related technologies • Proficient in professionally handling executive customer, shareholder, and other stakeholder inquiries and directing them to appropriate colleague for resolution • Thrives in a fast-paced, collaborative environment • Takes initiative, is results oriented, and influences others to achieve common goals • Highly organized with strong attention to detail, and ability to manage multiple priorities • Project management experience with a focus on time and task management inclusive of; tracking deliverables and deadlines via clear timelines/work plans, has processes for organization and collaboration among project stakeholders, and can provide clear reporting • Experience managing, maintaining and communicating budgets • Moderate to strong skills with Microsoft Office (Excel, Word & PowerPoint) | ||||||||
