Job Description:
Summary:
The main function of an Executive Administrative Assistant is to provide high-level administrative support to VP of Commerce Customer Enablement . A typical administrative assistant acts as information and communication managers for an office.

Job Responsibilities:
  • Manage and maintain a complex calendar daily to ensure accurate scheduling and organization
  • Make decisions on behalf of LT/Leadership members to ensure meeting requests meet agreed upon time management priorities and performance objectives
  • Coordinate domestic and international travel, including on-the-ground logistics
  • Coordinate scheduling and logistics of team meetings, All-Hands, events and offsites, including venue selection, meeting details, and material preparation
  • Provide team support, including headcount management, budget, morale events, DL management, and other tasks/projects
  • Track budgets and manage expenses in a compliant and timely manner
  • Manage space coordination with direction from the Lead Executive Administrator
  • Be self-motivated, have effective communication and interpersonal skills, exercising sound judgment, tact, diplomacy, integrity and professionalism at all times
  • Possess an aptitude to work independently and be comfortable operating with ambiguity
  • Multi-task and change direction in rapid response to a fluctuating work environment, and make timely decisions
  • Achieve results with a high degree of accuracy and attention to detail
  • Develop collaborative relationships with others who have a diverse set of working styles and perspectives
  • Be an active member of the admin team
  • Build and maintain good business relationships with administrative staff both internally and externally

  • Basic mentoring skills necessary to provide support and constructive performance feedback.
  • Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.
Education/Experience:
  • High school diploma or GED required.
  • 5-7 years of experience required.

Typical Day in the Role
  • Purpose of the Team: This is a team made up of 280 team members that are mainly Engineers and PMs focused on commerce technologies which is the way MSFT invoices their large customers. This is a global team based in Singapore, India, Dublin and mainly based in Redmond, WA.
  • Key projects: This role will contribute to on the ground team support within the Redmond office.
  • Typical task breakdown and operating rhythm: The role will consist of tasks listed in the job description.
