Create a positive, professional environment for all guests, clients and associates Monitor visitor access and maintain security awareness Maintain a clean desk environment at all times Answer incoming calls Understand full operation and capabilities of office phone system Administrative Provide administrative support to all staff on an as needed basis Calendar management Travel and Expenses – VP and above associates One Epsilon, all associate meeting invites HR information sharing, support with new hire onboarding Building updates Miscellaneous Reserve conference rooms for all meetings, both internal and client in attendance Arrange catering as requested Receive and set up catering for client/internal meetings Clean up catering and conference room at end of meeting Reconcile Pcard on a monthly basis Building (where a facilities associate is not staffed – or provide backup as needed) Contact between Epsilon and facility staff where applicable Accept deliveries Distribute all mail and packages when they arrive; secure packages if employee is not in the office Ship outgoing mail/packages Maintain all printer areas Ensure that all paper sizes are available and that all printers are full with paper at all times Schedule printer maintenance as needed Maintain office supplies Place orders when supplies are low, do not wait until supplies run out Ensure kitchen and conference rooms are tidy and ready for clients or visitors Checking twice daily to ensure tidiness Maintain kitchen area; ensure supplies are always re-stocked when items are low | ||||||
