Seeking an Executive-Level Administrative Specialist to provide support to the Marketing department of a leader in biotechnology research.
 
This global organization is headquartered in Northern Indianapolis. The campus is home to several business areas including Diabetes Care, Professional Diagnostics, Applied Science, Tissue Diagnostics and Centralized Diagnostics.

Title: Executive Assistant – Global Marketing
Department: Global Marketing Services
Location: Indianapolis, IN
Timeline: 2-year contract with potential for FTE conversion based on performance
Job Description: This is a tactical and critical role as this individual performs advanced, diversified, confidential administrative support specifically aligned to the Global Marketing Services leadership team. Responsibilities are varied and complex, often involving research, analysis and solution development. This individual will understand and assess office procedures and recommend areas for improvement. They will report directly to the VP of Global Marketing Services.
Summary of essential job functions:
  • Administrative responsibilities around scheduling appointments, travel itineraries, and meetings, coordinating all arrangements associated
  • Preparation of routine and non-routine correspondence and memoranda, preparing release of inner-company communications
  • Plans, organizes, and executes staff events such as town hall meetings, lunch and learns, training sessions, social outings, etc.
  • Administers office supplies, equipment, distributions lists and office logistics, ordering Roche credit cards, cell phones and business cards for new hires
  • Maintains Client SharePoint sites and supports a variety of project management areas within the marketing department
Qualifications:
  • Bachelor's degree with 2+ years of experience in a Corporate setting (Preferably Marketing!)
  • Strong organization and planning skills with experience in meeting coordination, travel logistics, and scheduling
  • Highly proficient with Microsoft Office Suite including Word, Excel, and PowerPoint
  • Strong troubleshooting, and problem-solving skills with the ability to independently provide support in a variety of areas regarding project management and process improvement
  • Demonstrated ability to plan and carry out complex tasks with minimal supervision
