Responsibilities will include, but are not limited to, the following:

• Manage forecasting and planning of promotional materials through internal review process (with input from Project Champions)
o Develop and update annual, quarterly, monthly and weekly plans
 Annual (high-level) plan, based on brand plans
 Quarterly plans (refreshed monthly), to be reviewed during quarterly planning meetings, with all relevant functions (set meetings every quarter)
 Weekly review meetings, with brand and channel teams (estimate time to complete review of materials; adjust agendas to accommodate schedule changes; prioritize/reprioritize review items based on business needs)
 Attend brand planning and strategy meetings as needed
o Ensure adherence to timelines for submission of materials into internal review
o Limit late additions to weekly agenda to exceptions only
o Partner with brand and channel teams to ensure tactical plans are executed

• Manage flow of promotional materials through PACT (Promotional Approval Cross-functional Team) – ensure adherence to company SOPs
o Chair live meetings and ensure review committee time is used efficiently
o Actively facilitate live PACT meetings and ensure focus on key issues, with the goal of bringing the group to consensus (keep reviewers on subject; manage meeting time constraints; minimize side discussions)
o Clarify, review and reconcile comments on review materials during live PACT meetings via PromoMats & ensure that verdicts from PACT reviewers are applied
o Monitor progress of offline reviews & ensure verdicts from PACT reviewers meet allotted timelines
o Archive materials and manage annual reapproval process

• Facilitate development of materials going through PACT
o Receive and distribute review materials via PromoMats
o Work with outside advertising agencies on day-to-day operations (ensure accurate preparation of review materials including OPDP preclearance submissions, lead weekly status meetings, in collaboration with Client Production)
o Ensure interface with Client and Agency production departments

• Manage review tool (PromoMats) and related functionalities
o Manage progress of documents throughout workflow
o Ensure appropriate and efficient leverage of tool during meetings
o Partner with Client IT troubleshoot technical challenges and workflow enhancements

• Solicit feedback/provide recommendations for improving PACT effectiveness
• Onboard new users (internal & external): train on electronic workflow system PromoMats, ensure compliance wire completion on PACT process and provide related process documents for reference
• Analyze PromoMats metrics, consolidate and provide quarterly reports to PACT teams
• Execute special projects as required by management

Skills/Knowledge Required:
 BA/BS degree, preferably in Communications or Marketing
 Highly motivated self-starter with strong project management skills and ability to perform/prioritize tasks in a fast-paced environment with limited supervision
 Proficiency in Microsoft Office
 Experienced with proofreading technical documents
 Working knowledge of pharmaceutical advertising submission requirements
 Working knowledge of FDA promotional regulations a plus
 Exceptional attention to detail is critical for this job
 Expert listening skills and ability to probe for undisclosed information
 Excellent interpersonal skills. Accurate and concise oral communications and writing ability
 Excellent organizational and time management skills
 Ability to multitask and meet strict deadlines
 Must be able to innovate, analyze and solve problems
