Top Am Law 100 firm is seeking to add a Distribution Assistant to their growing team.

The Distribution Assistant is a member of the Word Processing Department who will assume responsibility for overseeing and performing distributions. The Distribution Assistant is also responsible for performing word processing document work which requires knowledge of advanced word processing applications. Other responsibilities include faxing, scanning, and copying documents.

Essential Duties and Responsibilities:
• Distribute documents internally and externally as instructed by lawyers as well as oversee distributions being done by others in the department • Ability to organize distribution requests and achieve results in a timely manner
• Possess strong customer service skills and flexibility
• Ability to follow through on paperwork for all distributions for the shift, making sure that the paperwork has been completed properly
• Enter all time spent on requests as a legal timekeeper
• Produce a wide variety of documents such as financial documents, correspondence, reports, presentations, and charts
• Create, revise, and print documents utilizing applications, macros, templates and standard forms
• Work one-on-one with lawyers on special projects that need specific instruction
• Convert documents from various applications to requested applications
• Perform quality control checks on documentation that is printed and copied by Distribution and Copy Center

• Excellent attendance and punctuality
• Possess a strong knowledge of word processing fundamentals and understand computer applications in accordance with standards
• Ability to properly utilize and apply all advanced functions of applications such as MSWord, Excel, PowerPoint, Visio, and Adobe Acrobat
• Ability to scan documents to text or pdf using various OCR software
• Willingness to participate in special projects and training
• Ability to organize and prioritize numerous tasks and complete them under time restraints
• Interpersonal skills necessary in order to communicate and follow instruction effectively from a diverse group of clients, lawyers and staff to provide information with courtesy and tact
• Ability to proofread typed material for grammatical, typographical or spelling errors.
• Ability to operate standard office equipment such as a computer, multifunction devices, and dictation transcription equipment
• Ability to retrieve and distribute files, written documents or office supplies
• Ability to handle confidential material in a discreet manner
• Ability to comply with departmental procedures, practices and policies
