Responsibilities Serve visitors by greeting, welcoming, directing and announcing them appropriately Answer, screen and forward any incoming phone calls while providing basic information when needed Receive and sort daily mail/deliveries/couriers Maintain security by following procedures and controlling access via the reception desk (monitor logbook, issue visitor badges) Organize conference and meeting room bookings and maintain reception calendar Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc. Facilities Management - monitor and maintain office equipment and general tidiness of shared office areas Writing and distributing interoffice memos Organizing and ordering catering for meetings and events Ordering and maintaining inventory of office and café supplies. Maintaining & tracking office and café supply orders within budgets Performing the A/P process for corporate invoices, utilizing on line accounts payable work flow. Act as the liaison between A/P and vendors Acting as administrative support for overflow work of other departments. Requirements Proven working experience in a front office handling receptionist responsibilities Professional appearance Solid communication skills both written and verbal Ability to be resourceful and proactive in dealing with issues that may arise Ability to organize, multitask, prioritize and work under pressure
