A preeminent, full-service law firm with offices around the world and a staff as diverse as the practice areas they support are seeking a dynamic and motivated individual for the role of Business Intake Coordinator in their Chicago Office. This role offers an exciting opportunity to work in a fast-paced environment researching and analyzing data while assisting attorneys with their compliance duties and contributing to the overall success of the Firm. Coordinators work closely with attorneys and Firm personnel (i.e., senior management, paralegals, staff, etc.) to initiate the process of bringing new business to the firm, identifying possible business or ethical conflicts of interest, reviewing, indexing and cataloguing client retention agreements, etc., all while providing excellent customer service. The Business Intake Coordinator is responsible for securing client and Firm data on a daily basis, including complying with client requested security measures. This position is responsible for upholding the standards and Firmwide policies of all new business processed by the Department, as well as implementing and policing standards of quality, consistency, accuracy and thoroughness, enhancing customer service, and improving efficiency. Essential Job Functions
  • Assist with processing new client and new matter forms and amending requests for clarity and completeness.
  • Analyze all engagement documentation, recognize the potential for risk and escalate to specified individuals for approvals.
  • Respond to department e-mail communications with accurate information in a timely manner.
  • Responsible for follow-up and processing of all intake requests pending action by an approver, submitter, or submitting attorney to ensure compliance.
  • Establish and perform maintenance on confidential and ethical walls. Coordinate notifications and acknowledgements.
  • Review and edit the Firm's Weekly Report of Potential New Matters, as well as handle the report's electronic distribution.
  • Collaborate with team members to address time-sensitive issues for routine pre-engagement, large litigation, and restructuring-related matters with a strong attention to deadlines.
  • Assist with collection and documentation of all parties involved in a client's restructuring for research, conflicts searching, and potential disclosure.
  • Coordinate large data clean-up projects, special report requests, and responses to unique and complex client and matter information requests from a variety of customers.
  • Contribute to process, procedure, and technology improvements in order to reduce the Firm's exposure to risk and improve efficiency.
  • Act as department representative (i.e., answer Firmwide hotline, assist with Firm training on department systems, etc.).
  • Conduct special projects as assigned.
  • Participate in overtime during evening hours and weekends.
Qualifications & Requirements
  • Bachelor's degree required.
  • Two to three years of related experience processing business intake and supporting a functional area's initiatives, including compliance and regulatory monitoring is preferred.
