Position Overview
The Executive Assistant assists the Managing Directors of the company in enhancing their effectiveness in directing the organization's success. This position provides administrative support as well as representing the executives to others, both inside and outside the organization. This position is a first level contact with the organization; therefore, it requires practiced and tactful thought in meeting the challenges of multiple, complex business situations. This position requires strict confidence and discretion due to the nature of the executive positions it supports.
Primary Duties and Responsibilities
  • Maintains strict confidentiality in all matters.
  • Maintains appointment schedules by planning and scheduling meetings, domestic and international travel, and video and teleconferences.
  • Prepares presentations and correspondence.
  • Manages calendar and agenda of the executive leaders.
  • Maintains workflow by identifying, assessing, and organizing priorities daily.
  • Develops and utilizes filing systems.
  • Ensures prompt preparation of expense reports and monitors reimbursements.
  • Performs other related duties as assigned.

Education / Experience / Competency Requirements
  • Education: Associate's Degree or Bachelor's Degree.
  • Experience: 10+ years' experience as an Administrative Assistant with 5+ years' experience working as an Executive Assistant with senior-level executives (e.g. C-level and VP-level professionals).
