GENERAL SUMMARY: 

The Human Resources Representative is a key member of the HR team and works closely with and supports the HR Business Partners (HRBPs) in the delivery of HR services to BWH.
S/he provides assistance and problem-solving services to HRBPs and business customers. Responsibilities include: processing of sensitive and confidential information; maintenance of records; using technology to analyze data and create reports as needed; and participates in on-going process and procedural improvements.
The HR Representative participates on projects and mid/large scale initiatives in support of customers and the HR department.
The HR Representative establishes and maintains strong working relationships with the HRBPs; HR leadership, managers and staff; and key contacts across the enterprise. The incumbent will exercise sound judgment, take initiative, and work effectively to independently/as part of a team resolve and/or process a variety of Human Resource Business Partner related issues. 

PRINCIPAL DUTIES AND RESPONSIBILITIES: 
  • Receives, investigates and responds to HRBP's/BWH managers'/employees' questions regarding employment status, benefit information, payroll processing etc. using HR systems and shared services central. Provides first level policy guidance to managers and staff. 
  • May act on behalf of HRBPs as a primary contact person to assist with and triage employee requests and issues in less complex employee relations needs; and pass on detailed information to HRBP in more complex employee relations needs. 
  • May act as initial point of contact for BWH departments and employees, responds to questions regarding Occupational Health, Payroll, Benefits, EAP, etc. or refers to appropriate resource. 
  • Serve as a primary subject matter expert and liaison to Shared Services groups including Benefits, Kronos, HRIS, Records, EAP and Leaves. 
  • Supports HR Business Partner team with duties including processing RIF's, Separations and ADA requests for approval, creates the appropriate documentation, maintains tracking database, etc. 
  • Provide support to HRBPs and department managers with PeopleSoft and assist with transaction processing as required. Respond to data requests and create reports and design spreadsheets as needed, ex equity's and act as a PeopleSoft super user for the team. 
  • Assists HR Business Partners with compensation projects, including evaluation of employees' experience/qualifications for equity reviews, in-range adjustments, bonuses, promotions and seniority adjustments. 
  • Participates in employee file audits, gathering necessary documentation from a variety of sources. 
  • Prepares data and information for Labor Grievances, Problem Resolution, MCAD/EEOC, OFCCP cases, investigations and complaints. Coordinates the Problem Resolution program.
  • Processes various routine MNA compensation and benefits updates and corrections. 
  • Researches PeopleSoft transaction requests as needed. Enrolls employees in KSS and in coordination with HRIS, maintains/updates PeopleSoft trees. 
  • Enters corrective action into PeopleSoft and may assist with performance management database. 
  • Manages response for unemployment claims. Works with vendor and department contacts.
  • Manages the Wage Advance and Hardship requests. 
  • Assists HR Business Partners with investigations and employee relations issues. 
  • Develop and maintain a repository of current job descriptions. 
  • Manage and update Partners local HR content for the HR Portal. 
  • Collaborate with HRBPs and HR management on short- and long-term projects. 
  • Participates in department-wide sponsored events. 
  • Suggest interventions and solutions to improve team processes, effectiveness or efficiencies. 
  • May participate in internal or cross-enterprise committees and workgroups. 
  • Assists in scheduling large meetings/conference calls. 
  • May include other duties as assigned. 
QUALIFICATIONS: 
  • Associate's Degree or HR Certificate strongly pref'd. Bachelor's degree preferred. 
  • 1- 3 years' prior work experience in a business or customer service setting, preferably in the Human Resources field or the equivalent combination of training and experience. Health care experience strongly preferred. 
  • General understanding of current state/federal employment law, i.e. FMLA, ADA, FLSA, EEOC. 
  • Strong proficiency in Microsoft Office software including Word, Excel and PowerPoint. 
  • Proficiency with PeopleSoft or similar system preferred.

  • Ability to take appropriate initiative and understand when to escalate issues and demonstrated ability to be an active learner. 
  • Must have a high level of integrity/trustworthiness and ability to handle sensitive and confidential information. 
  • Ability to build and maintain successful, collaborative relationships with all levels of the organization and achieve credibility. 
  • Able to work independently and be a team player. Must be collaborative and adaptable to different personalities and demands, and able to work with a diverse workforce. 
  • Strong technical aptitude and computer skills are needed in Microsoft office. Strong data and analytic skills, including the ability to learn PeopleSoft, SharePoint and other related tools. Familiarity with Kronos is preferred. 
  • Effective operating in a collaborative, matrixed environment undergoing significant change.
WORKING CONDITIONS:
  • Normal office working environment. 
  • Possible local travel to the Brigham or other Partners sites.
