Title: Project Coordinator
Type: Full Time / Perm
Location: Jenkintown, PA

Primary Responsibilities:
  • Own Accelo (our Professional Services Automation - PSA - software)
  • Become familiar with current projects, including all short and long-term goals, schedule and budget.
  • Create update and close projects in PSA software
  • Ensure that project status is maintained with complete accuracy
  • Coordinate project scheduling, budgeting and administrative tasks
  • Keep all parts of the process organized and running according to plan.
  • Communicate with clients and internally, setting times and dates for meetings in order to keep on schedule, and relaying any issues with timelines or budgets to the project manager.
  • Develop and maintain accurate and complete project files
  • Ensure that all team members and departments have what they need to meet project deadlines and milestones
  • Assist Account Lead as needed on any project changes requests
  • Keep Management informed regarding the progress of all project coordination activities
  • Develop operational process together with the team
  • Support the project staff
  • Perform a wide variety of administrative duties as required to support project completion
  • Creates and distributes correspondence relevant to the team, project and program for both internal and external distribution
  • Review all contractor and 3rd Party invoices and reconcile at the end of each week against quotes
  • Coordinate all tasks related to invoicing and purchase orders
  • Produce project and hours reporting
  • Provide assistance and training to system users
  • Perform a wide variety of administrative and/or support tasks to ensure successful project completion
Technical Skills
  • Experience with Professional Services Automation (PSA) software (preferably Accelo) or Enterprise Project Management software
  • Experience with setting up projects according to PMI standards
  • Excellent knowledge of MS Office, including Word, Excel, Power-Point
  • Knowledge of GSuite, Google Drive and Google Calendar
  • Ability to create and maintain complex spreadsheets and documents
  • Must be able to document and present work in a clear and concise manner

  • Strong attention to detail, with a high degree of accuracy and excellent organizational skills required
  • Must have the ability to multi-task in a fast paced and deadline driven environment
  • Must be able to maintain professionalism and a positive service attitude at all times
  • Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving
  • Must be self-directed and able to complete projects with limited supervision
