My client in Norwood, MA is looking to bring on an Event Coordinator to join their team.

Type: Part Time Contract - 20hrs/week

The Digital Marketing and Customer Experience organization is responsible for delivering best-in-class go-to-market performance and building thought leadership in support of business units, sales/distribution, and corporate programs, to increase opportunities for our products and services with the goal towards accelerating company growth.

Reporting to the Global Event Manager, this individual will assist in the coordination of trade shows and events

The individual will have 3+ years' experience in trade show management, strong written and oral skills, and be able to work independently and accurately.

  • Internal liaison for tradeshow execution for internal and external resources
  • Coordination and management of onsite vendors
    • Booth set up consultant
    • Display Works
    • Transportation
  • Shipping and Logistics
    • In accordance with timelines and budget
  • Management of event-specific budgets
    • Approvals and processing of invoices
    • Reporting to Event Manager
  • Manage corporate trade show property inventory and maintenance
  • Participate in meetings with team to review event schedules and sales-related deliverables
  • Registration of attendees to tradeshows in accordance to allocated budget
  • Registration and management of hotel room blocks
  • Inventory, tracking and ordering of tradeshow assets
    • Including marketing collateral and giveaways
    • Ordering and maintaining supplies of sales collateral in accordance to collateral budget
  • Manage onsite meeting schedule and communicate information to attendees
  • Manage booth schedules for:
    • Vendors, Sales, Booth Staff, Management, Speakers, Partners
  • Coordination of In-booth promotions
    • Researching and ordering booth swag
    • Manage timeline and budget and ensure they are within the tradeshow rules
    • Signage for giveaways, panel, new product launches
    • Video loop updates
    • Update prize rules with legal
    • Work with Event Manager to update collateral
    • Work with legal to ensure all guidelines are met
  • Data entry as needed in support of tradeshow events including:
    • Compiling tradeshow marketing leads for email marketing database
  • Tradeshow Communication Support
    • Working with Event Manager to execute pre and post conference email and direct mail campaigns
  • Tradeshow Recaps & Lessons Learned: For team and management review
  • Support other marketing programs and activities as needed

  • Tradeshow management
  • Self-starter, work independently and team player
  • Great attention to details, accuracy and thoroughness
  • Multitasker able to manage multiple events concurrently
  • Creative problem solving ability
  • Highly proficient with Microsoft Excel and PPT
  • Ability to work across multiple departments and correspond positively and efficiently with all levels of employees (including C)
  • Physical demands:
    • Ability to continuously stand or walk
    • Ability to bend, squat, climb stairs and lift frequently
    • Ability to lift up to 50 pounds occasionally
  • 2+ years of experience with event marketing
  • 2+ years of experience with vendor management

  • 4-year Degree in marketing or communications
